Closed in Status, Open in Reality
Addressing the danger of administrative closure without physical design verification.
Case Lifecycle & Protocol Analysis
One of the most dangerous breakdown points in AEC review management occurs when a mark-up is closed administratively within the tracking database or PDF markup summary, yet the underlying drawing geometry remains untouched. In fast-paced design submissions, team members frequently mark items “Closed” or “Resolved” as soon as a design intention note is written, mistakenly assuming the actual model or sheet update will follow automatically.
This false sense of completion conceals unresolved clashes from quality audits and downstream reviewers. When a structural beam penetration or duct clearance issue is marked resolved in status only, subsequent trade teams proceed under the assumption that spatial conflicts have been resolved in the republished drawing package. In reality, the clash remains live on the construction drawings, creating severe discrepancies once fabrication or site installation begins.
Key Finding & Observations:
- Resolution notes confirmed the proposed correction in theory, but no updated delta revision was published.
- Administrative reviewers cleared the item to satisfy milestone metrics without inspecting physical geometry.
- Discrepancy remained hidden until downstream coordination discovered that the old CAD layer was still in place.
